What should you sort first when booking a food truck for your wedding?
Get quotes as soon as you have a date, a venue and a rough guest number – even before other details are locked in. Popular vendors for wedding season book out first, and comparing quotes early gives you more choice than starting six weeks before the day.
Three months or more before
- Get quotes from a few vendors based on your date, venue and rough guest count – see food trucks for weddings for what to expect on pricing and format
- Confirm your venue allows outside catering and food trucks specifically, particularly for venues with an in-house caterer
- Check venue access for a truck – driveway width, gate clearance, and whether it’s grass, gravel or a sealed surface
- If your venue is on public land (a park or beach), start the council vending permit process now rather than closer to the date
Six to eight weeks before
- Confirm and book your chosen vendor, including their minimum spend or per-head rate and any deposit required
- Share your rough run sheet – when you want service to start, and how it fits around speeches and the first dance
- Confirm power and water: most trucks are self-sufficient, but flag it either way so there are no surprises
- Ask about your vendor’s wet-weather approach, and check whether your venue has a marquee or indoor fallback
Two weeks before
- Share a close-to-final guest count, including a breakdown of dietary requirements – vegetarian, vegan, gluten-free, allergies
- Confirm the exact arrival and service time with your vendor against your final run sheet
- Reconfirm site access details, especially if anything about the venue layout has changed since your first conversation
- Settle any outstanding deposit or payment terms
On the day
- Make sure someone – a wedding party member, coordinator or venue contact – knows where the truck should park and can meet the vendor on arrival
- Have your final run sheet ready to hand to the vendor on-site in case timing shifts
- Confirm the wet-weather plan is still the plan, if the forecast has changed

Frequently asked questions
When should we book our wedding food truck?
Four to eight weeks ahead is comfortable for most dates, but popular vendors for summer and December weddings book out faster -- enquire as soon as you have a date and rough guest number, even if other wedding planning isn''t finalised yet.
Who do we tell about dietary requirements -- the venue or the food truck?
The food truck directly. Share vegetarian, vegan, gluten-free and allergy numbers with your vendor a few weeks out so they can plan quantities -- the venue doesn''t need this information unless they''re also providing other catering.
Does the food truck need our final guest count in advance?
Most vendors ask for a final or close-to-final number one to two weeks out, since it affects how much food they prepare. Share your best estimate earlier for planning, and confirm the real number as it firms up.
